Role
Role Purpose
To provide high-level, confidential, and proactive administrative support to a senior executive within a banking environment. The role focuses on optimizing the executive’s time, managing priorities, and ensuring smooth day-to-day operations, with limited involvement in project administration.
Key Responsibilities
Executive Support
- Manage and maintain the executive’s complex calendar, ensuring efficient scheduling and prioritisation of meetings.
- Coordinate internal and external meetings, including Board-level and stakeholder engagements.
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Screen, prioritise, and manage correspondence, including emails, calls, and documents.
- Prepare briefing packs, presentations, and key documents ahead of meetings.
- Draft professional communications on behalf of the executive when required.
Administrative Coordination
- Arrange domestic and international travel, including visas, accommodation, and detailed itineraries.
- Handle expense claims, procurement requests, and general administrative processes in line with bank policies.
- Maintain accurate records, filing systems, and confidential documentation.
- Support the organisation of executive-level events, workshops, and leadership meetings.
Stakeholder Management
- Build and maintain strong relationships with senior management, clients, and key internal departments.
- Liaise with other Executive Assistants and departments to ensure alignment of schedules and priorities.
- Represent the executive professionally in all interactions.
Operational Effectiveness
- Anticipate the executive’s needs and proactively address issues before they arise.
- Ensure the executive is well-prepared for meetings with relevant materials and insights.
- Monitor follow-ups and action items arising from meetings (light tracking only, not project management).
- Maintain discretion and confidentiality in handling sensitive business information.
Limited Project Administration Support
- Provide basic coordination support for executive-led initiatives when required (e.g., tracking key dates or simple action items).
- Assist with preparing status summaries or collating information for reporting purposes.
- No direct responsibility for full project administration, governance, or reporting structures.

Qualifications and Experience
- Relevant diploma or degree in Business Administration, Office Management, or related field
- Minimum 5–8 years’ experience supporting senior executives (preferably in banking or financial services)
- Experience working in a highly regulated environment is advantageous
- Proven track record of supporting senior leadership with minimal supervision
